Applicant tracking systems built around your hiring

We build recruitment and applicant tracking systems that carry a role from job posting to signed offer: a careers site candidates can actually use, structured screening, scheduling that respects everyone's calendar, and reporting you can trust.

Applicant Tracking Systems, in short

OlDevs is a full-stack technology studio in Vancouver, British Columbia that builds custom applicant tracking systems for organisations whose hiring does not fit an off the shelf product.A typical build covers job posting and a careers site, application capture, structured screening and scoring, interview scheduling, collaborative hiring notes, candidate communication, and handoff to offer and onboarding. Every build is made to meet WCAG 2.2 AA, and clients own all code, designs, accounts and IP. Request a quote to scope your system.

Recruitment systems

What the system does

01

Job posting and careers site

Careers pages that publish roles from one place, read well on a phone, and meet WCAG 2.2 AA. Postings carry structured fields so the same role can feed job boards, your own site and internal listings.

Careers site · Job posting · Accessibility

02

Application capture

An application form that asks only what the role actually needs, accepts resumes and portfolios, saves partial progress, and builds one candidate record per person rather than a fresh duplicate on every application.

Forms · Candidate records · File uploads

03

Screening and scoring workflows

Screening rules and scorecards defined by your hiring team and applied consistently to every applicant. Knockout questions, weighted criteria and stage gates move candidates forward on evidence you can review later.

Screening · Scorecards · Workflow

04

Interview scheduling

Scheduling that reads interviewer calendars, offers candidates real choices, handles panels and time zones, and sends reminders. A reschedule updates everyone at once instead of starting another email thread.

Scheduling · Calendars · Panels

05

Collaborative hiring notes

Structured interview notes and ratings entered per interviewer, hidden until submitted so nobody anchors on the first opinion. Decisions, debriefs and candidate messages live on the record instead of in inboxes.

Interview notes · Collaboration · Audit trail

06

Offer, onboarding and reporting

Offer approvals, acceptance and a tidy handoff to payroll, IT and onboarding, plus funnel, source and time to hire reporting so you can see where candidates stall and where good hires actually come from.

Offers · Onboarding · Reporting

Process

How a project runs

  1. Hiring map

We sit with recruiters, hiring managers and whoever runs onboarding, then map every stage a candidate passes through today, including the parts that live in spreadsheets and side conversations. This is also where we tell you if an off the shelf product would serve you better.

  2. Design and accessibility

We design the careers site, the application flow and the internal screens together, because the same role data drives all three. Accessibility is designed in at this point, not retrofitted after a launch date is set.

  3. Build in weekly increments

One accountable team builds in slices, starting with posting and capture, then screening, scheduling and reporting. You get a working demo every week and can change direction while changing direction is still cheap.

  4. Migration and pilot role

We import existing candidates, roles and history, then run one live requisition through the system end to end. A pilot finds the awkward stage in your process far faster than another round of review meetings.

  5. Launch, train and measure

We launch with your team trained on their own screens, watch the first weeks of real hiring, and tune the workflow against what the funnel reporting shows. Handover includes documentation and all accounts in your name.

How we work

How we build it

01

One posting record, many destinations

A role is written once with structured fields for location, compensation policy, requirements and closing date, then published to your careers site, internal listings and the job boards you use. No copy and paste drift between versions.

02

An application form that respects the applicant

Short, keyboard operable, saveable, and honest about what happens next. We cut fields that nobody reads, confirm receipt immediately, and let candidates check their own status instead of emailing to ask.

03

Structured screening instead of inbox triage

Criteria are agreed before the role opens and applied to everyone. Reviewers see the same questions and the same scale, and the system records who assessed what and when, which is the part that survives a later challenge.

04

Scheduling built around real calendars

Interviewer availability, panel composition, room or video links, buffers and time zones are handled by the system. Candidates pick from live slots, reminders go out automatically, and cancellations release time rather than stranding it.

05

Permissions, audit trails and retention

Hiring managers, recruiters, interviewers and administrators each see what their role needs and no more. Every status change is logged, and retention rules delete candidate records on the schedule your policy sets.

06

Reporting on the funnel, not on activity

Applications by source, conversion between stages, time in stage, time to hire and offer acceptance, broken out by role and team. The point is to find the stage that is losing you good candidates and fix it.

Who it's for

Applicant Tracking Systems for organisations that have to get it right.

Corporations

Multi department hiring with approval chains, headcount controls and an HRIS that has to stay the source of truth. Useful when your requisition rules and reporting obligations outgrow what a generic product will model.

Associations and government

Competitions run to published rules, with bilingual English and French postings, accessibility obligations, records retention and an audit trail that stands up to review long after the position is filled.

Franchises

High volume, high turnover hiring across many locations, where each franchisee needs their own pipeline and the brand needs one consistent careers site, one application experience and network wide reporting.

Entrepreneurs and startups

Small teams hiring their first twenty people who want structure without ceremony. We are honest here: a good off the shelf product is often the right first move, and we will help you choose one and integrate it.

FAQ

Applicant Tracking Systems — questions we hear first.

Often, yes. If you hire in ordinary ways at ordinary volume, a mature off the shelf product will cover you faster than anything custom, and we will say so plainly. Building earns its place when your hiring has rules a product cannot express, when it must sit inside systems you already run, or when licence costs scale badly against your headcount.

Usually. Most HRIS, payroll and calendar platforms current at the time of writing expose APIs or file based imports, and we build against what your vendor actually supports rather than what a brochure promises. Where no interface exists, we design a clean import and export path so data still moves without manual retyping.

Yes. We build to WCAG 2.2 AA, which matters more in hiring than almost anywhere else: an inaccessible application form quietly excludes candidates before anyone reads a resume. That means keyboard operable forms, real labels, sensible error messages, adequate contrast, and no time limits that punish assistive technology users.

It can support fair practice: the same structured questions asked of every candidate, scorecards recorded before group discussion, audit trails on decisions, and reporting that shows where people drop out of your funnel. It cannot make hiring fair on its own. Policy, training and human judgment do that, and this page is not legal advice.

We can add assistive features such as resume parsing, duplicate detection or summarising long applications, always with a person making the decision. We do not recommend systems that reject candidates automatically without review. Automated decision making in hiring draws scrutiny in several jurisdictions, so treat it as a policy question for your counsel first.

Candidate data is personal information, so we design for that: role based access, retention rules with real deletion, consent and notice text you control, audit logs, and hosting in a region you choose, including Canadian regions. Which privacy rules apply to you is a question for your counsel. Clients own all data, code and accounts.

It depends on how many roles, stages and integrations are in scope. We work in weekly increments and show a working demo every week, so you see the careers site and application flow long before scheduling or reporting is finished. Many teams launch with posting, capture and screening, then add the rest once real candidates are moving through.
