OlDevs, a full-stack technology and marketing studio in Vancouver, British Columbia, runs stakeholder and community relations. The communications an organisation owes to the people it answers to, including members, growers, residents, boards, funders, regulators and elected officials. The work covers stakeholder mapping, consultation and engagement programmes, member and community newsletters, board and funder reporting, briefing notes, and bilingual English and French materials published to WCAG 2.2 AA. Where a council or funder needs evidence rather than anecdote, we build a reporting system they log into to see the activity for themselves. It is the discipline a grower- or member-facing organisation reaches for when its own constituents cannot describe what it does. Clients own every map, template, list, account and report.

What the programme covers
We list every group you answer to, what each one already believes, who speaks for it and how it prefers to hear from you. The map names owners, risks and the message each audience needs.
Stakeholder mapping · Contact data audit · Influence and interest · Audience research · Message matrix
Open houses, surveys, advisory panels, town halls and comment periods, planned end to end. We prepare the materials, run the intake, log what people said and publish what changed as a result.
Consultation design · Surveys and intake · Open houses · What we heard reports · Feedback logs
A newsletter on a set schedule, in a template that reads on a phone in a field, with plain summaries of decisions and segments so growers, residents and staff each get what applies to them.
Member newsletters · Segmentation · Email templates · Print-ready versions · Deliverability
Quarterly and annual reporting built from the same numbers all year, not assembled the week before a meeting. Board packs, funding claims and programme summaries with the working behind each figure.
Board packs · Funder reporting · Annual reports · Programme summaries · Data provenance
Materials written and laid out in English and French together, not translated at the end. Terminology lists keep names consistent, and both versions are published to WCAG 2.2 AA at the same time.
English and French · Terminology glossaries · Parallel publishing · WCAG 2.2 AA · Accessible documents
A login where a council, funder or government body sees activity for itself: campaigns running, content published, engagement to date and progress against plan, drawn from live sources rather than a slide deck.
Reporting portals · Role-based access · Live dashboards · Data pipelines · Audit trail
Process
Map the stakeholders
We interview your team, read the last two years of communications and list every group you answer to, what it wants and how it currently hears from you.
Agree the messages and cadence
One document sets what each audience is told, who signs it off and when they hear from you, tied to your own calendar of meetings, seasons and funding deadlines.
Build the assets and the system
Newsletter templates, consultation materials, briefing notes, board pack formats, French versions and the reporting portal, all built to WCAG 2.2 AA inside your own accounts and repositories.
Run the programme
Newsletters go out on schedule, consultations run to their published dates, enquiries are answered and logged, and each item lands in the record the reporting is drawn from.
Report and close the loop
Board, funder and council reporting on a fixed cycle, plus a published summary telling stakeholders what was heard and what changed. Then a decision on what to keep and what to drop.
How we work
When members cannot say what an organisation does, the usual cause is no reliable channel reaching them. We fix the list, the schedule and the format before writing anything clever.
Everything published, sent or run is logged in one place as it happens. Reporting is then a query, not a scramble, and the same numbers reach the board and the funder.
People stop answering surveys when nothing visible follows. Every consultation ends with a published summary of what was heard, what changed and what was rejected, with reasons.
Growers read on a phone between rows. Directors read a one-page summary. Regulators read the appendix. The same facts get three formats rather than one compromise document.
Both languages are drafted together with an agreed glossary, so a French reader gets the same document rather than a late translation with different headings and broken links.
Mailing lists, contact records, portal source code, analytics and consultation responses live in accounts registered to your organisation. If we stopped tomorrow, the programme would keep running.
Who it's for
If a group can vote you out, fund you, regulate you or walk away, it belongs on the map.
Grower, producer and industry associations whose own members are unsure what the organisation delivers on their behalf. Member communications, engagement programmes and reporting that stands up at an annual general meeting.
Municipalities, agencies and public bodies running statutory consultation, resident communications and council reporting, with bilingual and accessibility obligations that are not optional and deadlines that do not move.
Operators answering to neighbours, First Nations, regulators and staff at the same time. Engagement records, plain-language updates and a reporting trail that survives a hearing or an audit.
Head offices that need franchisees, dealers or chapters to hear one message, contribute local detail and see what the national programme delivered on their behalf this quarter.

FAQ
With distribution before messaging. We check whether you hold current contact details for every member, whether anything reaches them on a predictable schedule, and what they were last told. In our experience the problem is usually a broken list and an irregular cadence rather than weak copy. From there we agree a monthly rhythm, a format that reads on a phone, and a first survey to establish what members actually believe today.
Public relations targets journalists and the general public. Social media targets whoever the platform will show you. Stakeholder and community relations targets a named, finite list of people your organisation is accountable to, and most of them expect to be contacted directly rather than reached through a feed. The channels overlap, but the list, the tone and the obligations are different. We run it alongside PR and social rather than instead of them.
On reach into the named list and on response, not impressions. We baseline how many stakeholders you can actually contact, then track deliverability, open and click behaviour by segment, consultation participation and completion rates, enquiry volume and how quickly it is answered, and recall in a repeated member survey. Board and funder reporting shows activity delivered against the plan agreed at the start. Every figure traces back to a source you can open yourself.
You do, in full. Contact records, mailing lists, consultation responses, newsletter templates, terminology glossaries, the reporting portal's source code and its database, and every platform account sit in your organisation's name from the first day. We work inside your accounts rather than ours, so there is no migration at the end of an engagement and no export request to file.
Yes, and we build that as part of the programme rather than as a separate project. The portal shows campaigns running, content published, engagement recorded and progress against the agreed plan, with role-based access so a funder sees what it is entitled to and no more. It reads from the systems already producing the work, so what a council sees on Tuesday matches what your team saw on Monday.
We work in English and French, and a late translation is usually not enough. Dates, forms, navigation, alt text, email subject lines and PDF documents all need to work in both languages, and a terminology glossary keeps programme names consistent across years. We draft both versions together, publish them at the same time to WCAG 2.2 AA, and check that the French path is not a dead end.
Every engagement is quoted against a defined scope, so the first step is a conversation about who you answer to, what already exists and what has to be reported. Enquiries get a reply within one business day, and discovery can usually start the same week. The stakeholder map and a first communications plan come out of a short round of interviews, and the scope and the quote follow from what those interviews show.
