Challenge
Residents wrote to eleven different departmental inboxes, and roughly a third of what arrived was in the wrong one. Staff spent their mornings reading messages only to forward them, bylaw complaints sat unread beside pothole reports, and nobody could say how long anything actually took. Council wanted faster responses without anything consequential being decided by software.
Solution
OlDevs built an intake layer that reads every incoming enquiry, classifies it by service area and urgency, extracts the address and the specific request, and drafts a reply in English or French. Routing is automatic, but the draft reply, any service request raised in the city's work order system and every escalation waits for a named officer to approve or edit it first. Each decision the classifier makes is logged with its confidence, so the city can see where it is wrong and retrain against real cases.

Challenge
Settling a single carrier invoice meant opening the invoice PDF, finding the matching load in the transport management system, checking the rate confirmation, chasing a missing bill of lading and then keying the result into accounting. Three people did this several hundred times a week and the backlog grew every quarter. Auditors also needed to see why any given invoice was approved, which nobody could reconstruct from email.
Solution
OlDevs built an agent that runs the whole sequence: it reads the invoice, pulls the load and rate confirmation through the TMS API, compares accessorial charges line by line, requests missing paperwork from the carrier, and posts the approved entry to accounting. Anything outside tolerance stops and goes to a human queue with the discrepancy shown. Every step, tool call and document version is written to an append only log in PostgreSQL, so an auditor can replay exactly how a given invoice reached its outcome.

A first workflow typically moves from mapping to production in four to six weeks. Simple integrations with clean APIs can go live sooner, while workflows that need RPA on legacy screens or several approval paths take longer. We agree a schedule after the mapping step, once we know exactly how many systems and hand-offs are involved.
Access to the people who run the process today, a set of sample cases (real or anonymised), and read access to the systems involved, such as your CRM, ticketing tool or document store. We also ask for a named owner on your side who can approve what the agent is and is not allowed to do. Nothing needs to be built or cleaned up before we start; the mapping step surfaces that work.
We choose per project. For agents we work with the major model providers and open-weight models, run through orchestration frameworks, and use low-code platforms such as n8n, Make or Zapier for simpler flows where they fit. For RPA we use established bot tooling. Everything connects through your systems' APIs and webhooks, and we can deploy in your cloud account or ours.
Every run is logged with its inputs, decisions, outputs and duration, so we report tasks completed, exceptions escalated, time saved against the manual baseline and error rate. You get a dashboard from the first day of the pilot and a monthly review covering accuracy, cost per run and where the agent asked for help most often.
You do. Code, prompts, workflow definitions and any fine-tuned models are delivered to your repositories, and platform accounts are opened in your organisation's name. Your data stays in your systems; agents read and write through your APIs and keep nothing beyond what logging requires. If we part ways, everything keeps running without us.
