Associations & Government

Challenges we solve for associations & government

The problems we are asked to solve most often — and how.

01

Accessibility audits you cannot afford to fail

Public bodies and many associations are legally required to meet WCAG AA (2.0 or 2.1 depending on the jurisdiction); we build to 2.2 AA, which exceeds the referenced standard, and a failed audit means rework, complaints and public criticism.

WCAG 2.2 AA · Accessible BC Act · AODA · Screen readers · Conformance report

02

Member portals members actually use

Renewals, CPD tracking, directories and event registration scattered across three vendors frustrate members and drown staff in manual reconciliation.

Member portal · Renewals · CPD tracking · Directories · Events · Single sign-on

03

Bilingual content that stays in sync

French pages that lag weeks behind English, or a translation bolted on at the end, break both your obligations and the reader's trust.

EN/FR · Official languages · Translation workflow · hreflang · Content governance

04

Permits, licences and services stuck on paper

PDF forms, emailed submissions and counter visits create backlogs, errors and no way for residents to see where their application stands.

Online permits · Licensing · Application status · Payments · Case workflow

05

Personal information under PIPEDA and FIPPA

Member and resident data carries statutory duties around consent, storage location, access requests and breach reporting that generic SaaS rarely meets.

PIPEDA · FIPPA · Data residency · Privacy impact assessment · Access requests

06

Reporting that boards and councils can read

Leadership needs membership, service and budget figures in a form they can act on, not exports someone rebuilds in a spreadsheet every quarter.

Board reporting · Dashboards · KPIs · Data integration · Governance

Process

Our process for association and public-sector projects

  1. Strategy call

We learn your mandate, stakeholders, legal obligations and procurement route, then scope a project you can take to your board or council with confidence.

  2. Design

Accessible, bilingual wireframes and clickable prototypes, reviewed with staff and a sample of members or residents before anything is built.

  3. Build

Weekly working demos, automated accessibility and security testing, and privacy documentation written alongside the code rather than after it.

  4. Launch

Content migration, staff training, a conformance report and a handover package that puts every account, domain and repository in your organisation's name.

  5. Grow

Ongoing maintenance, accessibility re-audits, new services and reporting improvements, on a support arrangement your budget cycle can plan around.

How we work

How we work with associations & government

01

Accessibility from the first wireframe

We design to WCAG 2.2 AA before any code is written, then test with screen readers, keyboard-only navigation and contrast tooling at every weekly demo. You receive a written conformance report at launch for your audit file.

02

Bilingual by design, not by plugin

Content models, URLs, forms, emails, documents and error messages are built for English and French from the start, with an editorial workflow that flags any page where one language has fallen behind.

03

Privacy built into the architecture

We map every piece of personal information the system touches, choose Canadian hosting where FIPPA requires it, and document consent, retention and access-request handling so your privacy officer can sign off.

04

Procurement paperwork handled

We respond to RFPs and RFQs, complete vendor registration and security questionnaires, provide the certificates and declarations your procurement office asks for, and structure contracts so you own everything.

05

Weekly working demos

Every week you see software running, not slide decks, so committees, departments and member representatives can give feedback while changes are still inexpensive.

06

Reporting your board can read

We build dashboards and scheduled reports that pull from your portal, CRM and finance system, formatted for board packages and council reports rather than raw data exports.

FAQ

Associations & Government — questions we hear first.

Yes. Every site, portal and app we build is designed and tested to WCAG 2.2 AA, which meets or exceeds the standards referenced by the Accessible British Columbia Act, Ontario's AODA and the Accessible Canada Act. We test with screen readers, keyboard-only navigation and contrast tools throughout the build, and provide a written conformance report at launch that you can attach to audits, accessibility plans and procurement records.

Yes. We build bilingual sites and portals where both languages are treated as equals: separate URL structures with correct hreflang, translated forms, emails, error messages and downloadable documents, and an editorial workflow that flags any page where one language is out of date. We work with your in-house translators or a translation partner you approve, and we do not machine-translate official content.

We start with a data map of every piece of personal information the system collects, where it is stored and who can see it. From that map we choose hosting (Canadian data residency for FIPPA-covered public bodies), design consent and retention rules, and build the tooling for access requests and corrections. We also supply the technical documentation your privacy officer needs to complete a privacy impact assessment.

Yes. We respond to RFPs, RFQs and expressions of interest, complete vendor registration, security questionnaires and insurance requirements, and structure contracts to fit your procurement policy. Send us the documents and your deadline, and we will confirm within one business day whether we can meet it.

Yes. We integrate with association management systems, CRMs, payment processors, GIS and property systems, finance software and identity providers through their APIs, and build secure middleware where an older system has none. Integrations are scoped during the strategy call so the effort is visible in the quote, not discovered mid-build.

Every association and public-sector project is quoted individually because scope varies so widely: a bilingual public website, a member portal with renewals and CPD tracking, and a permit system with payments and status tracking are very different builds. Send us your brief, RFP or even a rough list of what you need and we will return a written, itemised quote and timeline within one business day, in a form you can take straight to your board or finance committee.

You do. From the first commit, code lives in repositories under your organisation's name, designs sit in your accounts, and hosting, domains and third-party services are registered to you. There are no licence fees payable to OlDevs and no lock-in; if you ever move to another vendor or bring the work in-house, everything comes with you.
