A CRM that sales trusts, run by someone senior

A senior specialist from OlDevs owns your CRM for an agreed share of each week: the data model, pipeline stages, lifecycle automation, routing and reporting. They work in your tools and your standups, with the studio behind them.

What a crm & automation specialist is

OlDevs' fractional CRM & automation specialist is a senior operations person who owns your CRM as a working system for an agreed part of each week, on an ongoing basis. They settle what a record means, define pipeline stages the sales team will actually use, build lifecycle automation and lead routing, set permissions, and produce reporting the floor trusts enough to act on. They work inside your CRM, your standups and your backlog rather than reporting on it from outside. The arrangement suits an organisation whose CRM needs a real owner, and whose backlog does not yet fill a full-time role.

What this person takes off your plate

What this teammate takes off your plate

01

A data model your team can rely on

Objects, fields and picklists rationalised, duplicates merged, and required data enforced where records are created. The field catalogue gets smaller, and every field that survives has an owner and a written definition.

Objects · Fields · Deduplication · Validation · Governance

02

Pipeline stages that describe what buyers do

Stages defined by observable buyer actions rather than optimism, with exit criteria written down. Forecast categories, close reasons and lost reasons are set so a number means the same thing every week.

Stages · Exit criteria · Forecast · Lost reasons · Adoption

03

Automation that is documented and reversible

Workflows for enquiry, qualification, onboarding and renewal, each with clear entry conditions and a visible record of what fired. Nothing important lives only in one administrator's head or in an undated screenshot.

Workflows · Triggers · Sequences · Testing · Change log

04

Lead routing that survives someone being away

Rules for who owns a lead, how fast it is claimed and what happens when nobody claims it. Round robins, territories and escalation paths that still hold during holidays and staff changes.

Assignment · Territories · Round robin · Escalation · Queues

05

Reporting the sales floor will act on

Dashboards built on definitions your team agreed to, reconciled against the source records. Pipeline, velocity, source and stage conversion, with the reason a number moved explained in plain language.

Dashboards · Definitions · Attribution · Reviews · Plain language

06

Permissions, training and getting the thing used

Record-level access and team hierarchies set deliberately, short written guides for the people who type into the system, and a standing watch for the spreadsheets that appear beside it.

Benefits

What changes when the CRM is deliberately designed

01

Model decisions stop being made by accident

How stages, objects and required fields get defined is decided by someone who has rebuilt sales systems elsewhere and lived with the consequences. Few sales teams generate a full week of work at that level.

02

Leads stop dying between the rules

Assignment, follow-up tasks and stage automation are documented and tested, so an enquiry lands with a named rep on the same day instead of sitting in a queue nobody owns while both teams assume the other has it.

03

The CRM teaches the sales process

Required fields, stage exit criteria and next-step prompts encode how your team actually sells, so a new rep follows the process by using the system rather than by shadowing whoever is free that week.

04

Adding a branch stops meaning a rebuild

A new territory, product line or acquired location goes into the existing object model instead of triggering a re-implementation. Consolidated reporting still adds up, and branches stay comparable because every one records the same fields the same way.

05

Duplicate and consent problems stop compounding

Merge rules, consent capture and retention are built into how records are created, so a deletion request, a due-diligence questionnaire or an internal audit is answered from the CRM instead of from a weekend of exports.

06

Admin knowledge outlives whoever holds it

Field definitions, automation logic and admin rights sit in your own CRM licences, with the reasoning recorded where your team already looks. A new administrator, ours or yours, picks up documented decisions instead of reverse-engineering them.

How it works

How the engagement runs

  1. What the CRM is failing at

A scoping call about what breaks, who touches the system daily and what the reporting has to answer. You get a written quote for the share of the week.

  2. Time with the people who type into it

Early sessions are spent watching how records actually get created, and where sales already works around the system. Habits explain more of the mess than configuration does.

  3. Definitions agreed before anything is built

Stage names, exit criteria and the meaning of each reported number are written down and signed off by your sales lead. Automation cannot settle an argument about how you sell.

  4. One backlog, ordered by revenue risk

Findings become a single ordered list, agreed with you rather than handed to you. Anything costing you deals or daily time is ranked above anything that is merely untidy.

  5. A weekly demo at your pipeline review

Changes are shown in your own pipeline review or standup, so the people affected see them first. Between sessions your team asks in your channels and hears back within one business day.

Who it's for

Who this suits

The fit is an organisation whose CRM need is real and continuing, and whose backlog does not yet fill a full week.

Sales teams whose CRM has quietly drifted

Stages nobody agrees on, duplicate records, reports the team has learned to ignore. The system still runs, but nobody owns it, and each quarter it costs a little more trust.

Founders whose real pipeline lives in a spreadsheet

The CRM was bought, filled in once and abandoned, and the deals that matter are tracked beside it. The work is making the system worth opening again.

Franchise and multi-branch groups on one system

Many locations feeding a single CRM, each with local habits and a local view of what a lead is. The job is standardising the model and permissions without stopping anyone's day.

Where a full-time CRM manager is the better answer

If the backlog genuinely fills a week, or the decisions need an internal owner with authority you will not delegate, hire. We will say so, and can help you scope the role.

FAQ

Questions buyers ask before committing

The week is a defined share, agreed before we start. They work the backlog: repairing data, building or fixing a workflow, tightening routing, rebuilding a report that stopped being trusted. They join your pipeline review, answer questions from sales and marketing in your own channels, and show what changed at the weekly demo. Larger builds are cut into pieces that fit the share.

If the work fills a week, yes, and we will tell you so. A hire gives you full-time attention and someone whose whole day is your company. A fractional teammate gives you a senior person part-time, inside your CRM and your rituals, with a studio behind them for the work that needs a developer or an analyst. We will not tell you it always costs less than hiring; that depends on your situation, not on us.

They stay where they were built, which is your instance. We never build in a copy of ours, so there is nothing to migrate back and nothing to rebuild. Ending an engagement means a handover session, a written note on the state of the system and its known weak points, and our admin access removed whenever you ask.

Most often HubSpot, Salesforce, Zoho, Pipedrive and Dynamics 365, plus the tools around them. We work in the CRM you already own rather than steering you towards one we prefer. If a move to a different platform is genuinely the right answer we will say so and scope it separately, with the studio's integration and development people, rather than running it around the edges of a weekly share.

When the work is honestly full-time. When a hard cutover needs someone available every day for a month. And when the real problem is a sales process nobody has decided on yet, because no amount of automation will settle that argument for you. A one-off migration or a defined build is better bought as a project. We would rather say that on the first call than three months in.

Some, and we keep it to the changes that earn the disruption. New required fields, changed stage names and different routing all land on people who did not ask for them, so changes are announced before release, explained in the demo, and written up somewhere findable. Where a rule keeps being worked around, we treat that as a design problem rather than a discipline problem.
